The problem
John Austin Ltd is an agricultural contracting business in the Waikato. Jobs were managed manually — requirements captured informally, drivers working from memory, consumables and time tracked on paper, and billing handled separately. The gaps between these steps created mistakes: jobs executed incorrectly and invoices that did not match the work done.
What was built
A bespoke job management platform that connected every stage of the operation. Office staff captured customer requirements in detail. Drivers received complete job instructions on their devices and recorded consumables and time as they worked. That data was then automatically extracted and formatted for import into the accounting system — removing the manual rekeying step entirely.
The outcome
The platform reduced mistakes at both ends of the operation — fewer errors in job execution because drivers had accurate instructions, and fewer billing errors because the data flowed directly from field to accounting with no manual translation. The system ran in production for over two decades, including a full architectural migration from legacy PHP to a modern single-page application.
